Preserve Fixed Desk Assignments When Locations, Floors or Resources Are Temporarily Closed
Organizations using assigned or permanently allocated desks may occasionally need to temporarily close buildings, floors, or resources due to maintenance, refurbishment, seasonal closures, relocations, business continuity measures, or operational events.
When a location or resource is temporarily closed, existing fixed desk allocations are currently removed and cannot be automatically restored once the location is reopened.
This creates significant administrative overhead and operational risk, particularly in large enterprise environments where hundreds of users may have permanent desk assignments.
Current Behaviour
- Users are assigned permanent/fixed desks.
- A building, floor, or desk resource is temporarily set to "Closed".
- Existing fixed desk allocations are removed for the closed period.
- When the location is reopened, fixed desk allocations are not automatically restored.
- Administrators must manually recreate all affected assignments.
Expected Behaviour
Temporary closures should preserve existing fixed desk allocations.
Recommended behaviour:
- Fixed desk assignments remain linked to users while a location is closed.
- Closure prevents new bookings while maintaining existing allocation data.
- When the building, floor, or resource is reopened, the allocations automatically become active again.
- No manual reassignment should be required.
Alternative Approach
Provide administrators with a configurable option when closing locations or resources:
- When closing a location/resource:
- Preserve fixed desk allocations
- Remove fixed desk allocations
This allows organizations to choose the behaviour that best matches their workplace management policies.
Business Value
- Reduces administrative effort during temporary closures.
- Prevents accidental loss of workplace configuration.
- Supports enterprise-scale workplace operations.
- Improves governance and operational efficiency.
- Reduces risk during maintenance projects, relocations, office shutdowns, and holiday periods.
- Improves customer confidence when using closure functionality.
- Aligns platform behaviour with administrator expectations that "closed" means temporarily unavailable rather than removed.
