Resource Maintenance Freeze / Temporary Booking Block
Administrators need the ability to temporarily remove resources from booking availability for a defined period (e.g., maintenance, repairs, inspections) without impacting existing bookings.
The customer manages a large number of workplace resources and requires an efficient way to block new reservations while preserving confirmed bookings.
Current Behaviour
When a resource is closed, all future bookings are cancelled, even if the closure is only intended for a specific timeframe.
Challenge
- Existing meetings/bookings should remain intact.
- Only new bookings should be prevented during the maintenance window.
- Current workaround is highly manual and time-consuming:
- Create multiple availability blocks around existing bookings.
- Repeat the process for each affected resource.
- Significant effort when multiple rooms or an entire floor require maintenance.
Feature Request
Add a new administrator action such as "Freeze Resource" or "Temporarily Block New Bookings" with:
- Start and end date/time.
- Existing bookings remain unchanged.
- No new bookings can be created during the defined period.
- Support for single resources, multiple resources, or bulk selection (e.g., floor/building level).
Business Value
- Simplifies maintenance planning.
- Prevents accidental bookings during maintenance periods.
- Reduces administrative effort.
- Scales efficiently for large resource portfolios.
- Maintains user trust by preserving already confirmed reservations.
Workaround Today
Administrators must manually create multiple unavailable time slots around existing bookings, resulting in considerable effort and maintenance overhead, particularly when many resources are affected.
