  1. When I try to book and receive the message that the floor is fully booked I would like the option to request a notification to advise me if a space becomes available on the date and in the space that I was requesting (example: If someone cancels their reservation).

  3. One of our customers has outlined several reporting needs that do not appear to be addressed by the current OTB Reservations reports. We’d like to propose the following enhancements for consideration in a future version of the application:

    Utilization Analysis of Underused Spaces - The ability to report on spaces that are never—or rarely—reserved. This would help identify potential issues such as missing equipment or other factors impacting the space’s desirability, enabling deeper analysis and informed improvements.

    Enhanced Check-In/Check-Out Reporting - For example: A comparison report showing check-in/check-out times versus scheduled reservation times. And visibility into which user/spaces are utilizing…

  4. In either Workplace or Review Bookings (ab-ht-booking-review.axvw), allow the one making the cancellation to enter a reason for why the booking is being cancelled.

    It could be either from an administrator, from a team lead, booking requestor, or the one being booked for.

    Reasons can vary from any number of reasons. Examples could be, "the room is no longer needed", "the floor will be undergoing renovations at that time", "the space is required for a special event", "the room was booked in error", "staff member X booked a desk for me, but I want to use a different desk".

  5. Reservations calendar console - My Reservations - minifilter requires english value "Cancelled" instead of german "Storniert".

    The mini console search doesn’t reflect localized terms as expected. Based on our current system behavior, the search functionality uses English keywords by default, regardless of the selected locale.

    For software used internationally, it's essential to adapt languages ​​consistently. It must be configurable, not hard-coded.

  6. Add a button to edit reservation details and add resources in the Outlook web add-in.

    This button can be a direct link to a Web Central view of the room reservation for the current meeting, which displays some general info about the reservation (reservation code), and grids showing the reserved resources (catering and others), with the option to add / remove resources.

  7. In addition to meeting rooms, a client would like to add floating resources (such as projectors) presently scheduled in Exchange to Archibus so that a reservation in one system shows the resource as reserved in both systems. Effectively extending the meeting room functionality to resources. From a UI perspective it would be most intuitive if the end user could assign the Exchange email address to the resource like they presently do for meeting rooms.

  8. In Workplace, limit the calendar to working days (configurable).

    It should be possible to configure working days, and hide / disable all dates outside (=weekends).

    And / or, "à la" Outlook, toggle between a full week / working days view.

  9. Add Reservation Locations to Favourites. See what days your favourite spaces are available, not only when you go to a specific date. If we could assign user-specific "nicknames" that would be nice too (such as "Corner by the Window" or "Close to Print Station" for example).

  10. When a cost is set for a room reservation, allow the option for a cost confirmation box to appear when the user is making the reservation. The user would be required to select that they acknowledge the reservation cost before proceeding.

    Currently there is no visibility into the room costs in Workplace and before charging anyone the space team needs to make sure they are aware. Currently they are just adding the cost as an amenity but that could easily be missed.

  11. Hotelling currently only allows approvals for employees whose departments have an approving manager assigned.

    Often the workspaces themselves will require approval, no matter who is booking.

    Rather than have approvals based on the employee department, please create the ability to enforce approvals based on the room/workspace department as well.

  12. The final button to confirm a meeting should read "Confirm" or similar instead of "Next ->" so the user is aware there are no more steps to complete and they are about to commit the reservation. Screenshot attached.

  13. When booking a room, there are often particular notices for special rooms. Would like to see the ability to add text to the room arrangement that, if populated, would be displayed in a window that the user has to accept to book the room.

    Often this is not something that every room needs but if a particular room has a use policy or a cost associated with it that needs to be communicated to the users.

  14. For both Room Reservations and Hoteling.

    Use case: when a building is getting decommissioned, the client wishes to permit reservations up to the building's final day of operations and no later. In other words, If the building closes on July 1, a user logging in on June 29 should be able to reserve for June 30 but not July 2.

  15. The default subject (reserve.reservation_name) size of the meeting in ARCHIBUS is 64 and MS Outlook can go up to 255 characters. Syncing from Exchange to ARCHIBUS return a 'truncated' error when a subject is more than 64 characters. Best will be to allign the out-of-box ARCHIBUS field size with MS Outlook to prevent this syncing error. Aslo, the hreserve table.

  16. When a floor is fully booked the blue/gray available/booked highlights do not load at all. This gives users the impression that the highlight has failed to load and there is an application error.

    I see that as of v2023.02 a message has been added indicating there are 0 rooms available. This is an improvement but it could be more clear.

    For a floor that is 100% booked for the selected date/time:
    - Display the highlights showing all rooms gray - this will also allow admins to review bookings for fully-booked floors at a glance.

Similar to the another 2 ideas "Back to Work - Reservation/booking Questionnaires for pre/post use" and Questionnaire for Service Request types, there is desire to have dynamic questions asked of the requestor before they submit a reservation request. We have one client that uses the reservations module not only for reserving rooms but holding events within these rooms. The client wants to set up a series of questions to gather needs for the event/reservation and based on how it's answered, another question may load/display.

    An example would be "Is A/V support needed?" if answered "Yes", a second could appear with…

  18. Currently this only applies to Hoteling but we also need this feature for Reservations.

  19. Make the confirmation email sent when booking a workspace more user friendly.

    1. For the Employee Is: User the users first and last name instead of employee id
    2. List the workspace number separate from the building ID number.
    3. Display the building name as well as the building ID number.
    4. Instead of Day part say Duration of Booking
    5. If authorization is automatic, make sure status: says confirmed

  20. Out of the box, only members of the HOTELING ADMINISTRATION security group can cancel a Hoteling Booking with a Start Date in the past. This is desirable for regular, single day bookings. However, for multi-day/recurring bookings it is often necessary to cancel future date bookings sometime in the middle of the booking period. Right now it just won't let you. It should leave all past days as valid booking and cancel all future days to open the room for other bookings on those days.
