Meeting rooms booking
We would like to explore the possibility of introducing two booking modes for meeting rooms: Shared and Exclusive.
The idea is that when the first person books a room, they can choose whether:
- Use the room exclusively: the entire room is reserved for that person, and the remaining seats are no longer available for other users to book.
- Share the room: the person books one seat, while the remaining seats stay available for other users to book.
For example, if a room has a capacity of 5 people and the first user chooses the Shared option, the room would remain available on Engage with 4 seats still available. Other users could then book one of those available seats.
Ideally, the room availability could be displayed visually, for example with 5 green dots representing the available seats. As seats are booked, the corresponding dots could change to show the initials of the users who have booked them.
If the first user selects the Exclusive option, the entire room would be considered occupied and no additional seats would be available for other users to book.
The key requirement is therefore to allow the first person making a booking to determine whether the room should be shared with other users or reserved exclusively for their use.
