  1. The 'Notes' box, when booking any room, needs to be expanded! It's currently a TINY box, which is not efficient! It needs to be larger! I put a lot of meeting information in that box, from tech requirements to catering requests. So having this tiny rectangular box is

Our organization has experienced three (3) separate critical production issues in which Managed Meeting Room requests submitted through the Engage web application were automatically deleted by the system. Although the root causes of these issues differed, the consistent behavior across incidents made it difficult for both our organization and Eptura Support to promptly identify and troubleshoot the problems.

    In each instance, when a reservation request was automatically deleted, the system failed to send email notifications to system administrators and the requestor. In addition, the booking summary incorrectly recorded the deletion as having been completed by the user rather than by…

  3. Currently if you book a room on desktop, it shows alert text about the room (if its been configured with it) but this text isn't shown on the mobile booking journey. This makes the alert kind of pointless if it has important room info in it as it will never be seen by mobile users.

  4. When I end earlier a meeting via the Condeco screen, there is a synchronization with Outlook and so, all the attendees receive an update about this past meeting.
    In this case, users don't want to receive this update notification in Outlook, because the meeting has already ended.
    So please, don't synchronize the meetings which are ending earlier

  5. For groups that are set to bump meetings that are not checked in, and/or for Condeco screens that will bump a meeting if not checked in, we should have a Bump Reminder email sent, 5 minutes prior to the meeting being bumped. This would reminder users they must check in or lose the reservation.

    This reminder exists for the desk booking but not for the room booking. (And it should be compatible with the use of Device Hub)

  6. You should detect Managed meeting spaces in Smart Calendar and if a user has administrator access (Group Admin).
    Use Case : I have set up to 24 hours the time to validate a meeting so the moderators have one day to approve a request.
    And as a moderator, he can book the room the same day via Condeco website.

    As Smart Calendar doesn't detect his admin level access, the moderator can't book the room the same day.

  7. https://condeco.uservoice.com/forums/912094-room-booking/suggestions/45359395-admin-notifications-for-bookings-via-outlook with 12 votes since 2022

    In our org, we have managed spaces by some moderators and their distribution list has been added to the email template.
    Currently if someone books a meeting via condeco web to the managed space, the group approver will receive the email template.
    However if the user books the managed space in outlook (smart calendar) , the email template does not get triggered.
    Would like to have the same experience for both outlook web and outlook.

  9. The personal spaces are setup as expected where only the group admins have the ability to move the green dots around. But in hourly resource booking, looks like if there are 2 groups on the same building and floor, both the group admins will have access to each other's resource green dots on the floor plan which is inconvenient and not ideal. Considering changing this will be great.

  11. We have the "copy to outlook" button permanently checked - can we please have the option to have the "Also delete outlook calendar event" permanently checked as well?

    Also, admins should have the option to delete the outlook calendar events. Only the person who booked the meeting has the check box option. This is causing a lot of issues with bookings currently at our firm.

  12. Our firm has the "copy to outlook" button checked automatically - when this box is checked, it eliminates the option to use the linked rooms feature - suggestion is to be able to use this functionality when checked

    additionally, when using the linked rooms function - please allow us to pick the primary room

  13. Currently, only Global Admins can create and amend Concierge tiles, which limits flexibility and slows down communication. Allowing Group Admins to manage these tiles via ‘Additional Administrative Access’ would enable roles such as Communication Officers and Property Managers to create Announcements and Events directly, without needing to raise requests with Global Admins. This change would streamline workflows and improve efficiency.

  16. We propose an enhancement to the current catering system to improve operational efficiency by introducing automatic beverage count adjustments. Currently, when the number of participants in a meeting changes, the system does not automatically update the quantity of beverages required, leading to potential discrepancies and manual adjustments. By implementing a feature that dynamically adjusts beverage quantities based on participant numbers, we can streamline the catering process, reduce manual intervention, and ensure accurate provisioning. This enhancement will not only improve service efficiency but also enhance user satisfaction by aligning the catering provisions with actual meeting requirements.

  18. We’d like the ability to duplicate services from one booking to another. For instance, if we have a predefined list of equipment services that will be reused in a different booking, it would be helpful to copy and paste them rather than re-entering each item manually again
