  1. When meetings are booked in the mobile app or meeting room screens the set up and clear down times that have been configured for the rooms are ignored. Requirement to be able to book a meeting room from any endpoint and the system respect any pre-configured set up or clear down times in the same way that the web application does.

  2. As of now, any booking created in Engage booking grid with a setup buffer timer (e.g. catering) creates a non-bookable timeframe (greyed out calendar) which remains within the Engage ecosystem.
    If there is an active Exchange integration, any setup or teardown buffer of the typical 15/30 mins is not synced to Exchange, leading to different information on room availability as per the views in Exchange calendar and Engage web interface.

    As such, any setup/teardown buffer generated in Engage should be transcoded as a somewhat "technical Exchange booking" resulting in a real calendar invite in Exchange, keeping Microsoft´s guardrails of how…

  3. When a user is assigned as a delegate to another user, if they delete a room booking on behalf of someone else, only the booker gets the cancellation email, both the booker and delegate should get the email and it should show who deleted the booking

  4. This feature would allow the internal attendees of an Engage Meeting Room Booking to view the Booking/Room details as well as the floor plan for the Room they are schedule to be in. This feature should be available in Web and Mobile.

  6. Il est actuellement possible de définir une période d'ouverture à la réservation des salles au niveau du groupe avec une date de début et une date de fin dans la journée.
    Il serait intéressant de pouvoir paramétrer une ou plusieurs périodes de blocage dans la journée.
    A minima, une pause méridienne.

  7. If you are ordering catering at the moment, you always have to click twice per item. First the group you want to have and afterwards the item itself.
    Instead of having as default "Please select" please set "Catering (All Items) as default, that would eliminate in 80% of the bookings the second click and would be much more efficient.
    We have locations where we have 95% catering in all meetings - let´s make the order process easier!

  8. Currently it´s not possible to translate service items like Catering, Equipment etc. to different languages. Please offer the possibility to translate service items too! We have many locations which are dealing with at least two languages, so we have to bring this option also to the service part. This is really crucial for us!

  9. Could columns be re-order to have the Meeting Room column (Location) directly after the Date/Time of the meeting to avoid scrolling to the end of each line + full visibility of the location details to avoid hovering over for full room details.
    The column order would be on the line of: Time – Meeting – Location – Booking VC/ID – Status - Host – WorkSpace

  11. Add a feature that allows meeting rooms to send a summary notification to selected recipients, such as the admin team, either at the start of the day or at a set time before a scheduled meeting.

    Purpose:
    To keep the admin team informed and prepared for upcoming meetings.

    Key Features:
    - Users can nominate individuals or groups (e.g. admin team, assistants, IT support).
    - Notification Timing:
    Start of day (e.g. 8:00 AM)
    Set time before each meeting (e.g. 1 hour prior)
    - Summary of meeting, including time, name, notes and requirements.

    Delivery Options:
    saEmail, Teams message, or mobile app notification

  12. To have the function to set be able to set individual room panel's as private so that these can not be booked, as currently booking the room out for a period of time is the only option there is.

  13. I think it would be useful to be able to populate your own Teams Call details into the booking form so that Engage informs the Teams enabled room of the meeting Details and not create new credentials.

    For example if i have a meeting in my diary that is recurring with a Dial-In information for Teams. I decide actually we shall all attend onsite. What would be good is to book the room and pre-populate the booking with the call details i already have for my meeting.

    Otherwise when i book Engage and it books the device it will create…

  14. When hovering over a meeting - the meeting details show for just a few seconds before disappearing.
    This should continue to remain and show as long as the mouse is hovered over the meeting.

  15. The 'Notes' box, when booking any room, needs to be expanded! It's currently a TINY box, which is not efficient! It needs to be larger! I put a lot of meeting information in that box, from tech requirements to catering requests. So having this tiny rectangular box is

  16. Our organization has experienced three (3) separate critical production issues in which Managed Meeting Room requests submitted through the Engage web application were automatically deleted by the system. Although the root causes of these issues differed, the consistent behavior across incidents made it difficult for both our organization and Eptura Support to promptly identify and troubleshoot the problems.

    In each instance, when a reservation request was automatically deleted, the system failed to send email notifications to system administrators and the requestor. In addition, the booking summary incorrectly recorded the deletion as having been completed by the user rather than by…

  17. Currently if you book a room on desktop, it shows alert text about the room (if its been configured with it) but this text isn't shown on the mobile booking journey. This makes the alert kind of pointless if it has important room info in it as it will never be seen by mobile users.

  18. When I end earlier a meeting via the Condeco screen, there is a synchronization with Outlook and so, all the attendees receive an update about this past meeting.
    In this case, users don't want to receive this update notification in Outlook, because the meeting has already ended.
    So please, don't synchronize the meetings which are ending earlier

  19. For groups that are set to bump meetings that are not checked in, and/or for Condeco screens that will bump a meeting if not checked in, we should have a Bump Reminder email sent, 5 minutes prior to the meeting being bumped. This would reminder users they must check in or lose the reservation.

    This reminder exists for the desk booking but not for the room booking. (And it should be compatible with the use of Device Hub)

  20. You should detect Managed meeting spaces in Smart Calendar and if a user has administrator access (Group Admin).
    Use Case : I have set up to 24 hours the time to validate a meeting so the moderators have one day to approve a request.
    And as a moderator, he can book the room the same day via Condeco website.

    As Smart Calendar doesn't detect his admin level access, the moderator can't book the room the same day.
