  1. In order for lease chargeback agreements to work properly, it requires going into the Cost Wizard, finding the scheduled costs, and then changing their Cost Statuses to AUTO-CHARGEBACK. This is cumbersome since someone would need to search for the scheduled costs and change each of them from AUTO-RECURRING to AUTO-CHARGEBACK since they are monthly/quarterly/annually/etc recurring costs.

    A mechanism to flag the recurring costs to default to AUTO-CHARGEBACK would save time and the potential for error.

  2. A UDF for properties will also be a good thing for referencing Leases.

    Properties contain information for registration #, registry # and bylaw # so capturing this data in a UDF Method allows organizations that are in the public sector to leverage the system.

  3. As a Lease Administrator, I need to record one lease that covers suites in multiple buildings, so that we can track financial data (costs) for the same lease together.

    This is a case, were one lease contract was signed for multiple buildings that are attached. The client may have leased several suites in each building, but they are covered by the same lease contract and need to be recorded in Archibus as one lease.

  4. Rework the lease console to include and improve the lease of Tagged Assets, specifically equipment.

    The lease console is a good utility to manage leases, however, it is specifically geared towards real estate, as evident by its location on the navigator and terminology. In the past, Archibus supported TA leases with separate tables and views but non with modern UI or UX like the console.

    I would like to consolidate the older functionality with the new console to provide FMs the ability to record and track EQ leases directly in a console format:

  5. The lease templates is where you can generate the next lease by copying the values from the template, but is you can't create a new lease from a template while in the lease console.

    So you can create a template here:
    Task: Define Lease Templates
    Task File: ab-repm-lsadmin-add-edit-lease-template.axvw
    Path: Real Property/Leases/Background Data/Define Lease Templates
    that is where you can get an existing lease it copies it changes it into a template for you

    Then to apply the template to a new lease you would go to

  7. We constantly have to customize Archibus to show highlighted leases on floorplans. With space console being the primary place for viewing floor plans, it would be helpful if an out of the box highlight/label for leases is present in space console, with the ability to associate rooms to leases. Bringing in the concept of suites wouldn't be a bad idea either, though most customers we service track space to the room and don't use suites.

  8. We have received direct requirements from both public and private organizations in the US that demand configurable workflow in Lease Administration. This is significant as lease workflow has become a common feature in other solutions.
    i. Allow administrators to design workflow. The Graphical Workflow Editor is a great start to meeting this requirement.
    ii. Need to allow someone to create a draft lease or start a revision of an existing lease
    iii. Submit lease through review and approval workflow
    iv. Upon approvals, a new lease revision is added to the system and becomes the primary lease record

  9. Pretty much all lease departments have to handle this some way. The existing workflow is to create CAM cost to handle maintenance but these CAM costs aren't specifically linking to a maintenance request or a project. So the idea was it would only satisfy the lease agreements which handle a blanket CAM cost.

    However, in real life, leases in which the client is acting as the tenant, don't have true control to set up the lease agreement this way because they use the landlord's version of the lease agreement since the tenant doesn't own the building. So as a result,…

  10. Under Real Property/Costs/Cost Administrator/Costs Wizard - Leases, Buildings, and Properties

    Most folks have an approval workflow where certain costs like maintenance costs associated to a lease or a project cost associated to a lease have to be approved. While his view allows folks to edit, view and approve recurring, scheduled and actual costs but then once you get into this view, there's no special security groups required here.
