  1. If a Craftsperson is using the Mobile Timer feature to record the time and accidentally forgets to turn the time off, there needs to be a validation in place which will automatically turn the time off after say 8 hrs.

    Alternatively there should be an easy way for the CF to adjust the time recorded with the timer in case this situation arises.

As it stands, I have to sit at my house the whole time-frame in which a maintenance is expected to come, which is from 9AM to 9PM, without knowing whether anyone is coming, has come by and I've missed them, or even intends to come by today. The result is that I end having an unnecessarily wasted day.

    The fix would be simple enough. Simply have a notification system, could even just be an email, in which the requester can see if anyone is taking steps to arrive on that particular day, if they have drooped by and no one…

  3. Currently the PM Planner has a filter for PM Date Status option of 'Missed'. This includes PM's that have not been completed as well as those that were not generated, and requires looking at each individual PM to determine the reason for the flag.
    Breaking the 'missed' status into 'Not Generated' and 'Not Completed' would be a more ideal reporting/planning feature for those clients wishing to differentiate.

  4. Are there going to be any changes in mobile 4.0 that may address additional data fields such as "Due Date" and "Date of escalation"

    Our concern is that the only data which is provided on the mobile app as far as dates, is the date the work was requested and there is not field for Due Date
    We are wanting to ensure that we don’t miss out on getting any work requests (especially critical PM’s) completed before the due date or escalation date as our goal is that 100% of critical PM’s are done on time.

  5. We need a "my daily schedule" view on the mobile device for the crafts persons that adds up their hours for the day ... so they can confirm that they put in their 8 Hours.

  6. With this addition we would be able to look to add pre set checklist/inspections before a work request can be issued. The use case here is the need to provide work permits/ method statements often these need to be in place before the work can start. We would be able to create detailed questionnaire forms for these requirements. This will add to the flexibility of when these can be assigned and managed and force workflow.

  7. In the maintenance console you have to option to add additional work request fields to the standard console view. We feel this is a essential function for our work planners to see a bit more info of each request without have to open the request itself. But everyone one needs to add these and not everybody remembers or adds the ones we recommend, and we have to re add them each browser session we open.

    Could there not be an app. parameter (or thing of the like) where we can set the fields we want to appear for each user…

  8. In organizations that want to integrate with the accounting system. Currently the only way to use account codes is either setup a preventative maintenance procedure to default an account code or to setup an SLA to need to be assigned to a work order. Upon generating the work order, the user can designate the account code. Could it be done in a way where it's more automated, ie building A automatically is account code 11110?

  9. Customers consistently ask for the ability limit the Problem Types that are displayed for a user on the request form based on location. For examples, many organizations use a mix external and internal service providers based on the discipline and the location.

    Possible Solution:
    Add a configuration option in "Define Problem Types" that works similar to the Site/Building VPA lists. Problem Types with no restrictions applied will show for every location. Problem Types with a defined Site or Building list will automatically restrict based on the configured list and the selected location for the request.

  10. In the Maintenance Console I noticed that there is a spot to update “Other Costs”. Our operation uses this function on a regular basis for special order items that we do not normally stock or to enter in Vendor details (such if we pay Culligan and need to document the cost for their services) however I noticed that once the information is initially entered that the information cannot be edited.
    In the view below – for example- the company TMI Heat was not originally set as a “resource type” therefore someone just chose General.

  11. Web Central allows for the capturing of the Physical Count of Parts per Storage Location and then running an adjustment process to update the quantity available from the physical count. A mobile functionality to capture the Physical Count of Parts per Storage Location will improve the turnaround times, accuracy, and user-friendliness of this process i.e. an Inventory Manager can sync the information to the app on a device, update physical count values and then sync back.

  12. There is a need to review all the various emails that are sent in the Building Operations Module and ensure that they can be managed consistently from one place. Currently some email notifications are hard coded (e.g. Preventative Maintenance SLA Emails, when a WR is forwarded to a workteam/supervisor, etc.), some are managed only from the message table and some are added by the user under "Manage Service Desk Steps".

  13. When you define a preventive maintenance (PM) procedure, you can add one or more step(s). This is not mandatory but a step will match a work request (WR) when PM work orders (WO) are generated. This means that if you generate PM WO for a procedure without at least one step, no WO will be generated at all!

    This should ideally be improved and a sort of check be implemented. For example upon scheduling the PM tasks by warning the user that it is no use scheduling a PM procedure that has no steps.

  14. The PM Planner tracks missed work based on the PM schedules, even when WO/WR are generated:

    Missed (Work Order Not Generated) -- woid IS NULL and datelatest < today
    Missed (Work Order Not Completed) -- woid IS NOT NULL and datecompleted IS NULL and date_latest < today

    Whereas the Maintenance Console tracks overdue (and escalated) work based on the escalation date of the WR (wr.dateescalationcompletion).

  15. It should possible to « manage » the buttons individually. For instance some roles could see and update all requests, just the way supervisors can do, but cannot complete requests. Or it should be possible to allow some specific roles to be supervisor but not use the « complete » button.

    In previous versions, this could be done using classic buttons in AXVW files that could be enabled or hidden using security groups or roles.

Regardless of the sort applied, the maintenance console always pushes out/exports data and displays it sorted descending by WR_ID even if a custom sort has been applied (say Location ascending). Clients want the export to come out as they see it within the application. We are asking to make sure any custom filters and sort column selections that have been applied are passed into the Exported file as well.

  17. Recommended validations for Craftsperson Dates, Times, and Hours Worked
    · Date Started and Date Finished may not be earlier than the Work Request date created (or the date when scheduled)?
    · The actual hours cannot be higher than the difference between the actual Time Started and Time Finished. 10:00 AM to 11:00 AM is 1 hour, but you can save 2 Actual hours as an example.
    · Cannot add time for a craftsperson if he/she recorded time in the same period on another work request.
    · Recommend performing these validations on save (Both WebCentral and Mobile).

Right now the only way that a "Guest" that has Arhibus access to be able to submit in a follow up inquiry is by our office creating an independent email account that they can submit in a question to - such as status of my work request. Our guests have to go through a secure sign on in order to be able to access the Archibus work request platform.

  19. A client has asked about the option to enable a Digital Signatures for maintenance. There was some sort of help file illustrating this to be possible on the mobile https://www.archibus.net/ai/abizfiles/v25.4_help/archibus_help/user_en/archibus.htm#whats_new23/dig_signature.htm?Highlight=digital%20signature
    that is if customized.

    Since it's been a while since this help file has surfaced, can there be the functionality available on webcentral and mobile? It would be nice to have that in the SLA wizard where someone can specify at what step a digital signature from what service agreement role is needed. Ie such as an approver or a supervisor.

  20. Starting in 25.3, craftsperson enter time as "Work Logs". These cannot be deleted via the Maintenance Console like assignments could previously.

    We’re finding that many craftspersons don’t care for the start/stop functionality in the Mobile app and manually enter their hours on Mobile or the Maintenance Console. Supervisors and admins are still expecting to be able to edit and remove work logs when needed. It is not uncommon for there to be mistakes that need corrected.

    Ideally, either supervisors would have the ability to delete these, or a security group could be added to control permissions for deleting work logs.
