Need the ability to have all meeting attendees to be sent to Visitor
Currently, attendees are only sent to Visitor when they are marked as External in the meeting invitation. However, there are scenarios where an employee who is not regularly on-site should still be registered in Visitor for check-in and site access purposes.
While marking the attendee as External will allow them to be sent to Visitor, this can be confusing for end users because they recognize the individual as an internal employee rather than an external visitor.
The feature request is to provide an option to default attendees to External for Visitor integration purposes, or otherwise allow internal attendees to be…

Guest Type Should be sent from Engage to Visitor
Currently, when a meeting is booked in Engage that includes external visitors, the visitor information is successfully sent to Visitor. However, the integration does not provide a way to specify the visitor type, such as Guest, Contractor, Vendor, or other categories.
As a result, organizations cannot leverage visitor-type-specific workflows and communications within Visitor, such as tailored notifications, instructions, or check-in processes. Instead, all visitors must follow the same communication workflow regardless of their classification.
The feature request is to enhance the Engage-to-Visitor integration to pass the visitor type during the booking process, allowing Visitor to apply the appropriate communication templates…

Multi-Day Meeting Support Between Engage and Visitor
Currently, when a non-recurring booking in Engage spans multiple days, the booking is not sent to Visitor, even when the Engage-to-Visitor integration is enabled. Single-day bookings are successfully passed to Visitor, but multi-day bookings are excluded.
The feature request is to have multi-day bookings processed through the integration in the same manner as single-day bookings, ensuring they are automatically created in Visitor whenever the Engage-to-Visitor integration is configured.

Linked meeting spaces in mobile app
Please add the ability to book linked meeting spaces in the mobile app. This is a very useful feature and it is jarring as a customer experience that you cannot use the same functionality in the mobile app as you can in the web version.

maximise cancelation
I regularly receive requests for rooms that are already booked. It would be useful to have an option that allows a secondary booking request to be added to a room in case the original booking is cancelled within a specified timeframe. If a cancellation occurs, the secondary requester could be automatically notified and given a set period to accept the newly available slot before it is released for others to book.option

Workweeks for Meeting Spaces and Applied by Office Location
Our firm uses Eptura Engage Workspace Reservations across multiple global offices, allowing personnel to reserve personal and meeting spaces at their home office or while traveling.
As some offices reach capacity on certain days, we explored using the Workweeks feature to limit personal-space reservations to designated onsite days. However, Workweek assignments apply to the user globally, regardless of office location. As a result, an employee restricted from booking a personal space on certain days at their home office is also restricted when visiting another office. Workweeks also apply only to personal spaces, not meeting spaces.
We are requesting an enhancement…

Enable proximity-based check-in using WLAN and extend geofence.
We received user complaints that the auto check-in is not stable. All settings on the phone have been checked. It works but not always. User suggests that geofence is not broad enough (250M) and the proximity detection does not work on WLAN.

To be able to check in room users
We have a high demand for clinic rooms, and we would like to be able to see in a report that services are using the rooms. Currently we have a lot of users not turning up as they should and we are not informed of any changes, causing empty rooms that could of been released for ad-hocs. Being able to check them in as they turn up will benefit an audit.

Internal-Only Meeting Spaces
Provide administrators with the ability to designate specific meeting spaces as Internal-Only.
When a room is configured as Internal-Only, the system should identify bookings that include external attendees and allow organizations to enforce a configurable policy, such as:
- Block the booking
- Display a warning message
- Require an approval workflow
This would enable organizations to reserve specific spaces, such as Think Tanks, Collaboration Rooms, Strategy Rooms, or Innovation Spaces, exclusively for internal meetings.
Pain Point:
Organizations cannot currently distinguish between rooms intended exclusively for internal collaboration and rooms suitable for meetings with external visitors. This limits governance options and may impact…

Configurable Advance Booking Period for Personal Spaces
Currently, Personal Spaces can only be booked up to 5 weeks in advance. Introduce the ability for administrators to configure the maximum advance booking period on a per Workplace Type basis.
Administrators should be able to define booking windows using flexible units such as:
- Days
- Weeks
- Months
Examples:
- Desks: 4 weeks
- Lockers: 3 months
- Pool Vehicles: 12 months
This would allow organizations to align booking rules with the operational requirements of different resource types rather than applying a single limitation across all Personal Spaces.
Pain Point:
The current 5-week advance booking limit is insufficient for resources that require long-term planning,…2 votes -
Allow Setup Time Values Greater Than 99 Minutes
Currently, the setup time field for services is limited to a maximum of 99 minutes. We have business requirements where certain services require longer preparation times, such as 150 minutes or more.
We would like to request an enhancement to allow three-digit values in the setup time field, enabling administrators to configure setup times exceeding 99 minutes when needed.
This enhancement would provide greater flexibility in managing services with longer setup requirements and better support a wider range of operational scenarios.

Resource Maintenance Freeze / Temporary Booking Block
Administrators need the ability to temporarily remove resources from booking availability for a defined period (e.g., maintenance, repairs, inspections) without impacting existing bookings.
The customer manages a large number of workplace resources and requires an efficient way to block new reservations while preserving confirmed bookings.Current Behaviour
When a resource is closed, all future bookings are cancelled, even if the closure is only intended for a specific timeframe.Challenge
- Existing meetings/bookings should remain intact.
- Only new bookings should be prevented during the maintenance window.
- Current workaround is highly manual and time-consuming:
- Create multiple availability blocks around…3 votes -
API Access to Key Worker Roles

Preferential Booking for Meeting Spaces
Currently, preferential booking is only available for Personal Spaces. We would like to see this functionality extended to Meeting Spaces as well.
This would allow designated user groups or departments to have booking priority for specific meeting rooms, helping organizations better manage high-demand spaces and support operational requirements.
This enhancement would provide greater flexibility, improve space management, and help customers align meeting room access with their business needs.

Preserve Fixed Desk Assignments When Locations, Floors or Resources Are Temporarily Closed
Organizations using assigned or permanently allocated desks may occasionally need to temporarily close buildings, floors, or resources due to maintenance, refurbishment, seasonal closures, relocations, business continuity measures, or operational events.
When a location or resource is temporarily closed, existing fixed desk allocations are currently removed and cannot be automatically restored once the location is reopened.
This creates significant administrative overhead and operational risk, particularly in large enterprise environments where hundreds of users may have permanent desk assignments.Current Behaviour
- Users are assigned permanent/fixed desks.
- A building, floor, or desk resource is temporarily set to "Closed".
- Existing fixed…3 votes
