Consolidated Multi-Day Event Reports in Eptura Engage (Condeco)
Problem:
Multi-day event reports in Eptura Engage generate excessive pages and distribute event details across multiple, non-intuitive pages, making reports difficult to review and use operationally. Existing reporting options do not adequately support all required event order details.Proposed Solution:
Introduce a Consolidated Multi-Day Event Report that displays common event information once and summarizes all event dates, times, rooms, and day-specific exceptions in a single streamlined report.Benefits:
Reduces report length and duplicate information.
Improves readability and user experience.
Streamlines event planning and operational execution.
Reduces reliance on custom reports or Data Lake solutions for standard reporting needs.

Add ability for administrators to configure resource icon sizes on floor plans.
For organizations with large floor plans and a high density of desks, the current icon sizing can make the map difficult to navigate and visually overwhelming. Allowing icon sizes to be adjusted would improve usability and visibility while maintaining the integrity of the full floor plan view.
Users could then zoom into specific areas as needed to make their desk selection, rather than having oversized icons dominate the layout or small icons become difficult to locate.
This enhancement would directly support our use case of 300+ shift desks on a single floor, making desk booking more intuitive and improving the…

Support Multi-Factor Authentication (MFA) for Admin Users Accessing Eptura Engage via Local Login
Customers using SSO authentication can still access Eptura Engage through the direct local login page. While this alternative authentication path may be required for operational reasons, it creates a potential security concern as SSO controls are bypassed when local credentials are used.
Requested Enhancement
Provide the ability to enforce Multi-Factor Authentication (MFA) for users authenticating through the standard Eptura Engage login page, particularly for administrative accounts.Possible configuration options:
- Enable MFA for all local login users.
- Enable MFA specifically for users with administrative privileges.
- Allow tenant-level configuration of MFA enforcement policies.Business Value

Require Meeting Subject Validation in Outlook Engage Add-in Before Reservation Submission
Prevent users from completing room reservations through the Outlook Calendar + Eptura Engage Add-in workflow when no meeting subject has been provided.
Problem Statement
When users book meeting rooms through the Eptura Engage Add-in within Outlook Calendar, reservations can be submitted without a meeting subject.
Where a meeting subject is required by organizational policy, the reservation may subsequently fail, creating a disconnect between the user's action and the final outcome.
From the end-user perspective, this often appears as:
- A room booking issue
- A synchronization problem
- An Eptura application issue
rather than a missing meeting subject.This results…

Provide Optional Device-Level Details in Device Health Email Notifications
Allow Device Health email notifications to optionally include affected device information directly within the alert email.
Problem Statement
Current Device Health notifications provide a summary count of devices that have not reported a heartbeat.
While detailed information is available within Device Hub, administrators must first log into the platform to identify the specific devices requiring attention.
For organizations operating across multiple sites, regions or support teams, this creates an additional investigation step before troubleshooting can begin.
Proposed Enhancement
Add an optional notification mode that includes affected device information directly within the email.
Possible fields:
- Country

Introduce Function-Based RBAC for Device Hub (Read-Only Device Health Role)
Enable organizations to grant access to Device Health and device monitoring capabilities without providing broader administrative permissions.
Problem Statement
Device Hub currently supports role-based access control based on geographic hierarchy:
- Global Administrator
- Country Administrator
- Location AdministratorWhile this allows organizations to delegate administration by region or location, it does not support access control based on function or responsibility.
Many organizations operate distributed support models where technical support teams need visibility into device health, diagnostics and operational alerts, but should not have access to broader administrative functions such as platform configuration or user management.
As a result, organizations…

improve Outlook Calendar Integration for Desk Bookings
Description:
Currently, when a desk booking is made in Eptura/Condeco, an Outlook calendar event is created through the ICS attachment. While disabling the ICS attachment prevents calendar entries from being created, it also removes the booking event entirely from the user's calendar.
We would like to request an enhancement where desk booking confirmations can appear as an "All-day" informational banner/event at the top of the Outlook calendar, rather than as a time-blocking meeting/event within the user's schedule.
Business Benefit:
Users can still see their desk booking details in Outlook.
The booking does not block calendar availability or appear as a…1 vote -
Separate "Reports" and "Analytics" Permissions into Independent Admin Access Controls
We see significant value in Live Analytics and would like to make those insights available to a wider audience. Separating Analytics from Reports permissions would allow organizations to benefit from analytics-driven decision-making while maintaining compliance with internal data access and export policies.
Problem Statement
Currently, granting an administrator access to the Reports module also automatically grants access to the Analytics module. These permissions cannot be managed independently.
For organizations with strict data governance and compliance policies, this creates a challenge because traditional Reports functionality typically includes the ability to export and download data, whereas Analytics (particularly Live Analytics) provides valuable…

Allow Catering Vendors to Reconcile Actual Consumption After Meeting Completion
The current workflow is fundamentally flawed because the people who know what was actually consumed (the catering providers) are unable to record this information, while the people who can modify the booking (end users and administrators) often do not know the final quantities used.
Problem Statement
Many organizations use Eptura catering and services bookings to order refreshments, meals, and other services alongside meeting room reservations.
Today, the workflow ends with the items that were originally ordered. However, in practice, actual consumption often differs from the requested quantities.Example:
- User books 10 bottles of water.
- Catering vendor delivers 10…2 votes -
layout changing when moving meeting rooms
When we move a booking to a different meeting room, if the same room layout is not available, Engage automatically change to the seating style with the highest capacity available for the selected room. I believe this would work better if it changed to the default room layout instead.

Colour Coding on Booking Grid
We could use some more colour coding configuration posibilities on the booking grids, so we can give some bookings a specific colour with a definition of the booking type without having to add it to the booking form as well.
We have different processes that a booking can be in besides the already existing ones in eptura and our admins would like to use colours to determine where the booking is in the process.

Floor Plan Zoom Controls for Admin
With the current feature of the floor plan zoom it is attached to the buttons and the scroll wheel. Having a finer grain control of this as an admin would be especially helpful.
Having this locked to the buttons instead of the scroll wheel would help with accidental zoom. It could also help with accessibility.
Being able to enable the zoom scroll wheel or disable it would be beneficial. Change the zoom speed, or enable scroll over zoom for the scroll wheel.

user group access override
User Group Access allows override of group booking in advance which is a great feature. We would like this extended so that there was also an override of the "select within a maximum of n weeks". This is currently limited to the original / master group setting for weeks in advance. Users are frustrated that although they can book in advance they cannot book for that entire advance period.

Attaching Files in Vendor View
It would be very helpful if files could be attached to orders in the vendor dashboard and if these files were accessible only to vendors. For example, order confirmations for catering. Currently, we are working with two parallel systems; a centralized system would make more sense.

Customized analytic page
Would love to have the ability to customize the analytic page, and to customize the dates for all of the data not just live data.

The live analytics data should have an option to see the entire service.
The new live analytics feature is nice. Unfortunately, the data it gives is terribly limited due to the inability to report on groups, departments, profiles, or the entire service.
Adding the ability to see more than a country and location is essential to understanding the viability and engagement of the platform.

Linkable rooms - identifier display on booking grid.
There would be great if we could identify linkable rooms on the booking grid. A symbol or something that shows which rooms can be linked. Some of our offices have multiple linkable rooms and we have to memorize them which some admins find it challenging.
