  1. We would like to setup PMs to generate monthly, on the first day of each month. However, the only option is to schedule for the 1st Monday of each month, for example.

    The issue clients are running into is they want September PMs to generate in September and October PMs in October, etc. If the pick the first Monday (or any other day of the week), PMs scheduled for the 1st – 7th might be generated in the previous month. For example, for September, the first Monday was 9/4 and the first Monday of October will be 10/2. On September…

    In Reports Central, when the Add Filter button is pressed, the list of selected fields appears allowing the user to add a filter for the field. If the user creates a filter for a field, and then presses Add Filter again, the field that just had a filter created is not listed. This means they are not able to add an additional condition for the field they just filtered. This limits the filtering ability the user is able to perform.

    In Reports Central, it is possible to show totals of Sum, Average, Minimum, and Maximum for numeric fields. However, only one of the totals can be selected for each field meaning that if you only have one numeric field, you can't have both Sum and Average for example. It doesn't make sense to have a limitation based on the number of numeric fields available.

  3. For French Canadian users of Workplace, some inconsistencies and/or errors in translation have been noted as follows:

    1. When defining recurrence patterns (motif de recurrence) in French, the options are misleading: and should be replaced as below:

  4. When a user wants to book a workstation in Workspace but no workstations are available that meet the selected criteria, the on-screen message reads "Maximum Capacity is reached for this floor".
    This is misleading, as the the “Maximum Capacity is reached for this floor” message should be displayed only when the Capacity Target for the floor has been reached or exceeded.

    The message should be reworded to read "No Workstations that meet search criteria are available". This way, the user is guided to edit search criteria, instead of being informed that the Maximum Capacity for the floor is reached when…

  5. For the feature ("See Meeting Attendees") in V2023.01, while booking the meeting room , we need to add the attendees, but multiple selection of these attendess is not possible. For each employee we need to select one by one, which could a tedious job when many attendees are required.

  6. Archibus should allow the creation of status in the configuration and a way to map process (approve, estimate, plan) to status. We found out that the number of status is limited if you want to track specific questions such as:
    - differentiate between request that are waiting for planning that the one being planned
    - differentiate between request waiting to be processed by a craft and a request being processed, a request processed but not verified by the supervisor

    Also we have custom needs for billing and there is no way to create a status for this.

  7. Make the confirmation email sent when booking a workspace more user friendly.

    1. For the Employee Is: User the users first and last name instead of employee id
    2. List the workspace number separate from the building ID number.
    3. Display the building name as well as the building ID number.
    4. Instead of Day part say Duration of Booking
    5. If authorization is automatic, make sure status: says confirmed

  8. As of v2023, the current placeholder text for document fields is "Drag-and-drop your file or click up...". One of the most common questions I get is why drag and drop isn't working. The answer is always that they haven't saved the record yet.

    It would be really nice if the placeholder text was "Save the record to upload a document" when record is not saved and then it switches to the current one telling them to drag and drop or use the up arrow after the record is saved.

  9. When selecting a year for generating e.g. the problem type report, it is apparently possible to only select a year for the "Calendar Year" option.

    Apparently, there is no way to select a year for the "Fiscal Year" option, because the Pulldown is right next to the Calendar Year option.

    However, the pulldown refers to both and should be arranged differently.

  10. Out of the box, only members of the HOTELING ADMINISTRATION security group can cancel a Hoteling Booking with a Start Date in the past. This is desirable for regular, single day bookings. However, for multi-day/recurring bookings it is often necessary to cancel future date bookings sometime in the middle of the booking period. Right now it just won't let you. It should leave all past days as valid booking and cancel all future days to open the room for other bookings on those days.

  11. Currently the system links PM work to SLA's via the PM Procedure meaning every time a PM procedure is added the user needs to create or add the new PM procedure to an SLA. by adding the criticality field as a check value the PM can be link directly as a catch all for this criticality i.e. Statutory and Non Statutory as a minimum. The system can still use a single PMP or also link to the location and equipment data. Grouping code may also be a useful link option to PM schedule for SLA's.

  12. Can the 'Scheduled Substitutes' task be expanded to enable the ability to schedule a substitution for the Requestor, in the same way we use the tools to substitute Craftspersons?

    That way when 'Requestor A' goes on vacation, we can assign 'Requestor B' as a substitute, so that Requestor B would see all work requests that Requestor A submitted.

  14. Currently, the Workplace app has a Services card that allows service desk and maintenance requests. For customers who are not interested in Service Desk options but only need maintenance requests it would be nice to have an application parameter that would change the text and possibly the image for the Services card to Maintenance. See the attached image as an example.

  15. When users are restricted from booking certain rooms (by dv, dp, team, bl, fl, or a VPA restriction) it can be very useful for them to be able to see rooms that are available that they themselves do not have access to book directly.

    For example if a team in the Legal division comes on site and there are no Legal desks available, instead of going home they can see that IT has a bank of available desks. They could then approach an IT admin to book one of those desks on their behalf. For organizations where space is at…

  16. Customers that use numbers for dv/dp and then names for the descriptions are locked into sorting the Division/Department list by the ID. If the ID field is turned off and only the name displays, the list still sorts by the ID, not sorted by name, making it difficult to find the Division/Dept

    Users should be able to sort the data by the name field vs. the ID field

  17. When Scheduling a craftsperson to a work request, if you click on assign craftsperson and click on the ellipse for craftsperson code, not all records are shown, see the screen print attached. A suggestion is to make all the views the same as a defined employee for example where one can use the next button where it will display the universal amount on each page. Note: the universal limit setting in afm-config.xml for record limit works but makes the system very slow.

  18. Building Ops - Maintenance Console - Work Request - Documents and Activity - Additional Document and Activity.

    When a WR is at requested stage there is a list of users that are able to take action on the request (approve and estimate). Once the WR is issued the users that did not take action should be either hidden from the view or removed from the activity log.
