  1. Vendors are logged out too fast, and when an iPad is displayed in a common area like a kitchen for instance, the user (Chef) may not always be around to refresh and re-login. There should be the possibility of determining up to an 8-hour period of time before logging out vendors.

  2. As an admin, when I am not in front of my computer I cannot look at the advanced grid or perform and admin tasks. We were led to believe this capability was going to be in the first release of the app when we first signed on but are still waiting. This is a crucial aspect for our usability on a daily basis.

  4. When a visitor is "arrived" on the system, ALL internal attendees should get the notification email not just the host. Most of our hosts are partners and they would not be impressed to have to email all of their colleagues when a visitor arrives. When reception are busy it is very annoying and time consuming to have to email the other internal staff separately.

  5. When a desk period is set to ‘weeks’, there is an option to ‘ignore weekends’. We would like this option to apply when the advance period is set to ‘days’ as well.

  6. Currently in email confirmations for recurring bookings it only displays the original Booking ID but does include all recurring dates.

    As each booking has its own Booking ID it would be nice to include it next to each date of the recurring date.

  7. We would like to be able to add a document as an attachment to a room booking.

    ,This document may contain information about the meeting or people that will be attending the meeting, etc.. We would want to be able to view the document online and be able to print out as well.

  8. Currently, we get an email telling us that the room has been bumped because it wasn't started from the screen.

    We would like a reminder that it is about to be bumped unless we start it from a screen

    The meeting organizer would then have the chance to check in before the room is released.

  9. Make it easier for admin to bulk upload names/changes by CSV file.

    Currently we use a third party application to manage our cost codes and we would like a simple CSV upload tool to be able to update user records

    As a business we invoice catering made on bookings that require catering services and we would like the ability to tie back a cost code to each user which we can maintain via a CSV file.

    Phone numbers are used to be able to contact the requestor of the booking if needed (asking for switching rooms,…)

  10. When a recurring meeting has a conflict, the application should recommend rooms based on the number of attendees to optimise room utilisation.

    Currently, it suggests conference rooms that have either the same or more room capacity.

    Example:

    I want to create a weekly meeting in the Philadelphia office in Conference Room A (that has the capacity set to 15) and in one of the weekly occurrences, I have a conflict because someone has Conference Room A already booked.

    There are 10 people set as attendees in the booking.

    Currently, I am only shown alternative rooms that can hold 15 or…

  11. The auto-bump feature is great for individual no-shows. Can you extend that function that if the booking is part of a series and x sequential meetings are bumped, the entire series is removed.

    Use case: User books recurring meeting for a couple of months. User is then terminated or leaves, but nobody else is associated with the bookings. This can now only be deleted by an admin on request. If the meeting is no longer valid and say 3 in a row are missed, cancel the remainder of the series.

  13. The problem is that when you change an instance of a recurring booking they still kind of linked to the original series.

    A recurring booking that has been edited by the instant booking should completely be removed from the series and act like any other booking that has not been created in a series once edited by this instance.

    The individual change should sit in the "My bookings" completely separate (not in the series part of my bookings like it does at the moment )

  15. It would be helpful if there was an auto allocate

    When a site has many rooms, you need to allocate all the services to that room which is extremely time-consuming when you have a lot of services.

  16. When a user is trying to book a room, another user is able to "steal" the room if they complete their booking quicker. Once a booking is in the process of being made, another user should not be able to make a booking in the same room if the times overlapped. Similar to online ticket websites that hold tickets for a set period of time (usually 10 minutes) to allow you time to complete the transaction. So for bookings, once the user has selected the available booking, the slot should be held for a set period of time or released…

  17. Use case : a user makes a room booking for a date without catering.

    A few days before the meeting, he decides to add catering (eg meal trays). Unfortunately, if these services have setup and clean-down times, the system tries to set them up, but if in the meantime the slots before and after are busy (which is often the case), the system displays an incomprehensible error message saying that the room is not available.

    To solve this problem ideally the setup and cleandown times should be applied within the booking schedule, and not outside. Because it is more logical…

  18. Provider better information within the booking summary.

    Under each update within the summary, provide information as to what has been amended during this update.

    The booking summary form should show if an action was done through the web portal or the Outlook add-in. This would help us troubleshoot issues related to the Outlook add in

    Overall it makes it much clearer for an admin to understand what has been added when, and whether we were aware of certain requirements before the most recent booking update.

  19. We are having this issue only when changes have been made to a booking with food/service items attached to it that are within the food/service item notice period. The validation of food/service item is triggering even though no changes have been made to food/service items

    Our users are also seeing an irrelevant error message (an error message about food/service item) when they change they are making is to the meeting title or attendees

  20. Provide the admin the ability to run a report on demand. This report would show the users booking on behalf of someone else. Include the booking creator user name, booked for user name, booking date and time, and location of user being booked for.
